Our client is looking for a seasoned Executive Assistant to support the VP of Communications. The role requires sharp judgment, seamless organization, and absolute discretion.

Responsibilities
Daily Expectations for Your Role

  • Manage complex calendars, correspondence, and high-priority requests across time zones.

  • Coordinate domestic and international travel, meetings, and events.

  • Partner with the Communications team on press, media, speaking engagements, and event logistics.

  • Prepare agendas, presentations, research briefs, content drafts, and expense reports.

  • Anticipate leadership needs and proactively align resources to support priorities.

  • Serve as a trusted gatekeeper for the VP of Communications.

  • Work closely with other executive assistants to provide seamless C-Suite coverage.

  • Build strong relationships across internal and external stakeholders.

  • Ensure compliance with organizational policies and reporting requirements.

Qualifications for Success
What It Takes

Minimum Requirements:

  • 8+ years of administrative experience, including 4+ years supporting C-Level executives (or equivalent).

  • Demonstrated success managing executive inboxes and high-volume correspondence.

  • Exceptional verbal and written communication skills.

  • Proven ability to act with discretion, integrity, and professionalism.

  • Highly organized, detail-oriented, and comfortable juggling multiple priorities under pressure.

  • Proficiency in MS Office and Google Suite; skilled with Zoom, Teams, and similar platforms.

  • Flexible, adaptable, and able to navigate ambiguity with confidence.

Preferred Qualifications:

  • Bachelor’s degree strongly preferred.

  • Experience supporting communications, media, or public affairs leaders.

  • Hands-on experience coordinating global travel.

  • Familiarity with communications workflows and executive events.

Compensation & Benefits

  • Competitive compensation package.

  • Full-time contract role (30+ hrs/week).

  • 4x10 work schedule (Mon–Thurs).

  • Paid sick leave and holidays, as applicable by local laws.

  • Opportunity for contract extension.

Working Environment

This is an in-person role based in Los Altos, CA. The schedule is full-time, with flexibility required across international time zones and occasional non-standard hours. You’ll work in a fast-moving, collaborative environment with executive assistants and communications leaders who value precision, professionalism, and teamwork.
