About the Role
We are hiring a Workplace Operations Coordinator to support day-to-day workplace operations in a fast-paced, high-traffic office environment in Toronto. This contract role is centered on creating a welcoming, organized, and positive experience for employees, guests, and cross-functional partners while helping the workplace run smoothly and efficiently.

This person will serve as a key front-desk and workplace operations contact, supporting reception, visitor access, inventory, shared spaces, mail and deliveries, and general office logistics. The role works closely with HR, Recruiting, Real Estate, Security, Construction, and Workplace leadership, and includes a clear feedback loop through workplace requests and ticketing support to help surface issues, resolve needs, and escalate concerns appropriately.

Responsibilities

  • Serve as the first point of contact for employees and guests, creating a welcoming and professional reception experience.

  • Print visitor badges, issue temporary access passes, and support workplace access procedures.

  • Coordinate visitor check-in processes and partner with security on incoming guests.

  • Maintain the appearance and organization of the reception area, lobby, kitchen, and other shared workplace spaces.

  • Manage workplace inventory, including ordering, stocking, organizing, and restocking office and workplace supplies.

  • Support incoming and outgoing mail, deliveries, shipments, and inventory distribution across workplace locations.

  • Assist with conference room coordination and general workplace logistics.

  • Respond to workplace-related requests and tickets, resolving issues directly when possible and escalating when appropriate.

  • Troubleshoot employee and guest questions or concerns in a timely and professional manner.

  • Provide cross-functional support to teams including HR, Recruiting, Real Estate, Security, and Workplace leadership.

  • Support workplace events, operational projects, and additional workplace initiatives as needed.

  • Help maintain a safe, inclusive, and engaging workplace environment.

Qualifications for Success
Minimum Requirements:

  • 2+ years of customer service experience.

  • 1+ year of workplace-related experience.

  • Strong interpersonal and communication skills.

  • Ability to build relationships across departments and work collaboratively.

  • Ability to remain agile and multitask effectively in a fast-paced environment.

  • Ability to prioritize assigned tasks and responsibilities.

  • Passion for supporting a positive employee experience through workplace operations.

Preferred Qualifications:

  • Experience supporting front desk, reception, or visitor management workflows.

  • Experience handling workplace tickets or service requests.

  • Experience supporting office inventory, supplies, mail, or shipment coordination.

  • Experience working with cross-functional internal partners in an office environment.

  • Familiarity with workplace support tools such as ticketing platforms.

  • Experience in a high-volume, in-person office setting.

Compensation & Benefits
Pay: 27.00 CAD per hour

Working Environment

  • Location: Toronto, ON, Canada

  • Work environment: On-site / in-person

  • Schedule: Full time (usually 30+ hours/week)

  • Hours: 8:30 AM to 5:00 PM

  • Assignment length: 6-month contract
